Running your league on Sideline

The league console for league admins: team health, coaches, rosters and roster imports, families, playoffs, and asking for new teams.

When your league uses Sideline, Sideline sets up your league, its season and its teams, and makes you a league admin. Sign in with the invitation you were sent; League in the top menu (or Your leagues on the Teams page) opens the league console.

A league admin runs the league, not a team: you manage coaches, rosters and families, and you can see every team, but uploading, clipping, tagging and awards stay with each team's coaches.

Dashboard

One row per team, the ones that need help first. For each team you see its coach (and whether they've signed in), the roster, how many invited families have signed in, games and clips with how much is tagged, and when anyone was last active. Needs spells out what's missing: no coach, coach hasn't signed in, no roster, no families, no film, or under half tagged.

If your league has more than one season, the menu next to the league name switches between them.

Teams

Every team this season. Open (read-only) shows the team exactly as its coaches see it, including players marked no media, with a note at the top that it's the league view. You can't change anything there except two things, for when a family raises a concern:

  • Coach only on a clip hides it from parents.
  • Delete on a photo removes it.

Need another team, a late-forming age group say? Fill in Need another team? and Sideline sets it up, usually within a day. Your requests and their status are listed underneath.

Coaches

Each team's coaches, whether they've signed in, and Add coach by email. With email invite ticked they get the usual Sideline invitation; untick it to hand them a temporary password yourself. Remove takes a coach off the team; their account stays.

Rosters

Each team's player count, how many are marked no media, and how many families are linked. Edit roster opens a team's roster (number, name, No media) and its families, where Add family adds a parent with their player's jersey number.

Importing rosters from a file

Import a file takes a CSV export from your registration system (SportsEngine, TeamSnap, LeagueApps) or any spreadsheet saved as CSV, one row per player.

  1. Choose the file. Include the team, jersey number, player name, parent email(s) and, if you ask it at registration, the video and photo consent answer.
  2. Which column is which. Sideline guesses from the headers; fix any that are wrong. If you picked a consent column, tick the answers that mean "no". Those players are marked no media.
  3. Match teams. Each team name in the file is matched to one of your teams. Skip any that aren't on Sideline.
  4. Check and import. See each team's players, no-media players and families before anything is saved. Choose: - Add and update (the default): players in the file are added or updated; everyone else stays. - Replace: each team's roster becomes exactly the file's players.

Tick Also add the families to their teams to add every parent email to their child's team, linked to their player, and optionally email them an invitation.

Rows without a jersey number are skipped, so they can be added once numbers are handed out. Tags in clips follow jersey numbers, so a roster change never removes tags.

Billing. For a paid season, finishing an import emails the season's invoice to your league's billing contact: the season's price for each player on your rosters who hasn't been invoiced yet, plus any sales tax, due in 30 days. The check-and-import step says so before you import. Later imports bill only players added since; the Season tab lists every invoice with a link to pay it by card or bank transfer.

No media is never removed by an import. A file can mark a player no media, but only a coach or league admin clears that mark, on the roster.

Season

Your season's dates, when uploads and tagging close (30 days after the season ends) and how long everything stays watchable (a year after the season, longer when the league renews). Season dates are set with Sideline.

Playoffs: teams still playing after the season ends can get up to six more weeks. Set each playoff team's last day; the 30 days start from there.

Players whose families said no

See Players whose family said no to video. League admins see those players everywhere; other families never do.
