Two coach-only pages set up the people side of a team: Roster is the kids, Members is the adults.
Roster
Open Roster from the top menu. One row per player: jersey number, and an optional name. Select More rows if you need them, then Save roster.
- Numbers are the tags. Every clip and photo tag is a jersey number, so the roster has to match what is on the field. A number cannot be listed twice.
- Names are optional and are only ever shown inside your team: on the Players page, on tags, and on the awards board. Parents pick their child by number and name on their first sign-in.
- Change a number mid-season and the old tags stay with the old number. Retag if a kid changes jerseys.
Enter the roster before inviting parents, so their first screen can ask which player is theirs.
Players whose family said no to video
Some families don't consent to their child's video and photos being shared with the team. Tick No media next to that player on the Roster page.
- You keep coaching as normal: tag them in clips, give them awards, and they stay on your sticker list.
- Other families don't see that player at all: no player page or reel, no tags or awards with their number, no photos they're tagged in, and they can't pick that player on the invite link or in their profile. Clips with other kids in them still play.
- The player's own parents still see everything about their child. Link them by approving their join request, or ask Sideline.
- For a play that's all about that player, tick Coach only in the clip panel and parents won't see the clip.
Members
Open Members from the top menu. The table shows everyone on the team: name and email, phone (if they gave one), role, which players they are the parent of, status, and when they joined.
Adding someone
To invite the whole team at once, use the Invite link at the top of Members: share one link in the group chat and approve people as they ask to join. See Invite your team with one link.
To add one person, enter an email address, choose the role, and select Add.
- Parent (view) can watch everything, download, tag which players are in a clip, and add and tag photos. Parents cannot give awards.
- Coach (upload and tag) can do everything a parent can, plus Clip film, Upload, awards, the roster, and Members.
With email invite checked, Sideline sends the invitation from team@sidelinemoments.com with a temporary password and the sign-in steps. Uncheck it to hand the temporary password over yourself, by text for instance: it is shown to you once, right after you select Add.
Someone who already has a Sideline account, on another team say, is simply added to this one and can switch between teams from the team name at the top left.
Invite pending
A member shows Invite pending until they sign in for the first time. Temporary passwords last seven days. Resend invite emails a fresh one and cancels the old one. Ask people to check spam for the first email; the sender is team@sidelinemoments.com.
Changing a role or removing someone
In the Members table, the Role column is a menu: switch a parent to coach, or a coach back to parent, and it takes effect right away. Remove at the end of a row takes that person off the team; they lose access to this team's clips and photos, but their account and their other teams are untouched.
You cannot change or remove your own row. If you are stepping away, have another coach do it, or email team@sidelinemoments.com.
Team settings and logo
On the team's Games page, coaches see Team settings next to the team's details. There you can rename the team, change the sport or season, and add a logo.
- Upload logo takes a PNG, JPEG, WebP, or an iPhone photo. Sideline fits it into a square without cutting anything off, so a wide logo gets space above and below. A square PNG with a transparent background looks cleanest.
- The logo shows next to the team name in the top menu, on the team page and awards board, on the team cards when you have more than one team, on your invite link, and in invitation emails.
- Remove goes back to the team's initials on a green badge.
Adding an assistant coach
Add them as a Coach. Both of you can mark plays on the same game from different computers, tag at the same time, and invite families. There is no limit on coaches per team.
